Where is work getting stuck?
Use these questions with the colleagues who do the work. Tick each one when you have discussed it, including where the answer is uncertain. The completion count records progress through the questions; it is not a score for your business.
Type notes below, or print a blank copy for your discussion. Use your browser’s print dialogue to save a PDF. Notes stay in this page only and are lost when it is closed or reloaded. They are not sent to Firm and Portfolio.
Discussion date and participants
1. Understand the work
1.1 Can we describe the main steps in one important client process, from the initial request to completion?
1.2 Where do cases wait, return for missing information or require the same information to be entered again?
1.3 Have we checked recent examples and heard from the people doing the work, including those handling exceptions?
2. Clarify ownership and capacity
2.1 Does each handover have a clear owner and an agreed description of what needs to be complete?
2.2 Which tasks or decisions depend on one person, and what happens when they are unavailable?
2.3 Can we distinguish a shortage of capacity from problems with instructions, information, training or tools?
3. Choose a practical improvement
3.1 Which single bottleneck will we address first, and why does it matter to clients or colleagues?
3.2 Who will coordinate the change, and how will the people affected help shape and test it?
3.3 What will we observe to judge the result, including quality and client experience, and when will we review it?
Your next three priorities
1. Action · owner · evidence needed · review date
2. Action · owner · evidence needed · review date
3. Action · owner · evidence needed · review date
Agree one improvement, one owner and a review date. Record unresolved questions for further investigation. This checklist supports discussion and planning; completing it does not establish that a process is effective or that every risk has been addressed.
Completion records questions considered; it is not a business score or assurance.
